Permits for Student Organizations
There are several forms that your organization may need to utilize some of which are listed below. These forms are required for your organization's use when planning an on-campus event as well as information about university travel.
Travel Information
Visit the link below if your organization plans to rent a vehicle from Transportation Services to take a trip outside of Stillwater.
Student Organization Travel Requirements
The activities of student organizations and sport clubs are not considered Official University Business, unless justification exists to designate such status through a Student Organization Travel Request. As a result, no University or State insurance coverage applies to these organizations, their equipment, any rented vehicles, or their drivers.
Further, if an organization has purchased a vehicle and obtained insurance coverage for its operation, any individual driving the vehicle should understand that they are not acting as an OSU employee while doing so and are not protected by the State of Oklahoma or by OSU’s insurance. Passengers should also be aware that, in the event of an accident involving personal injury, any potential recovery would be limited to the aggregate coverage amount provided under the insurance policy purchased by organization.
To help protect students and reduce the risk of serious incidents, any sport club-related air charter travel (excluding commercial flights) undergo prior review and approval by the OSU Aviation Consultant, John James, in accordance with the Athletic Department’s aircraft standards. Because this travel is not considered Official University Business, each club is responsible for providing advance notice to john.s.james@okstate.edu to allow for the necessary review.
